Privacy Policy

Last updated: 19 August 2026

1. Purpose of this policy

This policy explains how HorseDossier handles information connected with its website and service. HorseDossier is a digital information-management and disclosure tool for horse sellers. It helps sellers organise and present horse history, documents and seller-disclosed information to prospective buyers.

2. Information we may collect

Depending on how you interact with HorseDossier, information may include:

  • customer and account information, such as your name, email address, purchase details and communications with us;
  • horse information, including profile details, history, management, performance and ownership information;
  • uploaded documents, images and records, and information contained in those materials; and
  • website and service-use information, such as information generated when you visit or use HorseDossier.

Some uploaded information may relate to other people. You are responsible for ensuring you have authority to provide and share that information.

3. How we use information

We may use information to provide and operate HorseDossier, process and support purchases, respond to enquiries, communicate about the service, make information available through buyer-share links at a customer's direction, maintain records, and understand or improve how the website and service are used.

The Buyer Record Summary is only a clear summary of disclosed information, supporting records, and identified gaps or questions. It is not a veterinary, medical, safety or suitability assessment.

4. Storage and service providers

Information may be stored and processed through the systems and service providers used to operate HorseDossier, such as website hosting, payments, data storage, analytics and customer support. Those providers may handle information on our behalf where needed to provide their services.

No online service can guarantee that information will never be accessed, altered or lost. We do not make a claim in this policy about a particular security certification or technical standard.

5. Sharing and disclosure

We may share information with service providers that help us operate HorseDossier, where you direct us to share it through a buyer-share link or ownership handover, where sharing is necessary to provide the service, or where disclosure is required or permitted by law.

We do not independently verify the accuracy, completeness, health, soundness, history or suitability of information shared through HorseDossier.

6. Retention and deletion

We keep information for as long as reasonably needed to provide the service, respond to enquiries, maintain records and meet applicable requirements. If you would like to request deletion or ask what information we hold about you, contact us. We will consider the request, but may need to keep some information where reasonably necessary for legitimate operational, record-keeping or legal reasons.

7. Access and correction

You can ask to access or correct personal information we hold about you by contacting team@horse-dossier.madethis.app. Please include enough detail for us to understand your request and confirm the relevant information.

8. Complaints and questions

If you have a privacy concern or complaint, email team@horse-dossier.madethis.app with a description of the issue and any relevant details. We will review the concern and respond as appropriate.

9. Changes to this policy

We may update this policy from time to time. The current version will be published here with its updated date.

For the terms that apply to use of HorseDossier, see our Terms & Conditions.
